MINUTES
1. Articulation & General Education Attributes
The summer class schedule is now on line a www.usu.edu/registrar/scheduler. Transcripts are now being posted in UATS rather than in Admissions which should speed up the articulation process. Also, a draft of a proposal is being sent to Norm Jones regarding a conclusion as to whether UATS can make some general education decisions. Brandy Reeves will contact other advisors in colleges on campus to collect needed information.
2. Associate Degrees in Banner
Associate of Arts and Associate of Science degrees have been brought across from SIS Plus to Banner and are shown on screens SHATRNS and SGASADD. Associate degrees will be posted in the first attendance perioed in SHATRNS. Only Associate of Arts degrees or Associate of Science degrees will be posted. The SGASADD will determine how the associate degree will function in CAPP and will use the following codes:
AS00 Associate degree covers all general education requirements
ASLP check to make sure both life and physical sciences are covered
ASQL make sure quantitative literacy is met
LC00 same as AS00, except it is a letter of completion, rather than an associate degree
LCLP same as ASLP, except it is a letter of completion, rather than an associate degree
LCQL same as ASQL, except it is a letter of completion, rather than an associate degree
3. Course Cluster Website
John Mortensen demonstrated the cluster website: www.usu.edu/soar/clusters/fall/index. The site is very user friendly and begins by showing students what information is needed to register for SOAR and submit a registration request. The site is also very informative. As of March 7, 290 students had responded. The website can track enrollment prior to entering the course requests in Banner; therefore, closed classes are indicated. 4. Summary of Course Number and Prefix Changes
A comprehensive summary of course numbering changes, which includes state articulation was supplied on a handout. All of these changes will be identified in the General Catalog and Advisor Handbook. The changes will also be updated in the articulation tables, prior to being sent to departments for review. Banner will soon be programmed to recognize the changes. A summary of the changes is attached.
5. Articulation of Students Already Admitted for Fall 2006 (Old Numbers)
Transfer students who begin taking classes fall semester will show the old USU course numbers for the articulation, the reason being that native USU students transcripts will show the old number during that same time period. The new course numbers will articulate with courses taken summer and later. Tracy Jones is still in the process of building articulation tables and will forward all tables to Trevor Bennett before CAPP goes live. Advisors should notify Roland Squire regarding what is needed for repeats and equivalent courses.
6. Articulation with Southern Virginia University
Total credits from SVU are not accepted. General education courses at SVU are being reviewed by the General Education Subcommittee since last November and we hope to have final decisions soon from the Creative Arts and the Life and Physical Sciences committees. A complete list of everything that is approved will be distributed next month and will be included in the Advisor Handbook. Credits with accepted course number articulations will be posted in UATS.
7. BYU and Letter of Completion
BYU does not accept a letter of completion but will accept associate degrees. Credits will be accepted on a course by course basis.
8. 2007 NACADA Regional Conference
NACADA Regional is tentatively set for February 2007 in Wyoming, possibly Cheyenne. A suggestion to hold the conference in May and not to hold a state conference in 2007 was discussed. As a follow-up to the meeting, Jackson is not a possibility due to expenses and lack of an airport nearby. The Wyoming advising group is meeting this Friday to discuss possibilities.
9. Accreditation
We are seeking input as to what needs to be shown in the accreditation document that is specific to advisors. Please email john.mortensen@usu.edu with any issues you feel are important.
10. Change of Majors and Advisor Assignments in Banner
To alleviate at least some of the confusion that exists with the process of making changes in Banner, Becki Broadbent will meet with registration staff members to discuss when and how changes in advisor assignments should be made. Having a process where Banner can automatically assign a default advisor to a student is on our wish list, but is likely a year away from happening.
11. Dummy Classes
The Registrars Office has a concern about students registering for classes they dont intend to take. Using this method as a placeholder for scholarship or financial aid purposes is understandable, but should not be encouraged by advisors. However, advisors should help students understand the importance of dropping the classes they do not intend to keep.
12. Follow-up from Academic Standards Subcommittee
Students who are called for jury duty or to testify in court qualify as unforeseen circumstances within the Incomplete Grade Policy.
In SIS Plus, USU had programmatic changes that could change a students academic standing retroactively. For example, a student may have been placed on Academic Warning during his first semester for having a GPA below 2.0. If the student repeated the course during his second semester, the GPA from the first semester would adjust, possibly removing the Academic Warning notation.
Banner is not set up to change the status. Should it be? A meeting will be set up with Krystin DesChamps to talk specifically about issues such as probation and warning notices and status history appearing on academic records. She will present the suggestions at the next Academic Standards meeting.
13. Legislature: Advising Initiative from Board of Regents
The advising initiative submitted by the Board of Regents to the Legislature did not pass. Therefore, we are now looking for alternative ways to reduce the student-to-advisor ratio.
14. Grammar Prerequisite for BIS 2200
Effective Fall 2006, a new grammar test must be passed as a prerequisite to take BIS 2200 (formerly BIS 2550). The test takes a maximum of 90 minutes and can be taken as many times as desired, with no waiting period in between. The test will be taken in the CIL Lab and there is a $5 fee each time the exam is taken. There are many versions of the test, pulled from a 500 question pool. There are no practice versions, and one test must be passed before April 10. Business students have been informed of this requirement via email. 15. Permit Overrides in Banner
The present system where advisors release holds with one click is a problem because there are situations where there may be more than one reason for the hold. Separate holds for pre-requisites, co-requisites, major overrides, college overrides, etc. will be created which will require an advisor to release multiple holds in certain situations. Banner capability will increase to include functions such as advisor signatures, required electives, and adding and dropping.
16. Accessing Information Extracted from SIS Plus
Heidi Beck distributed a handout showing the student information screens available in Banner. Data will appear in a different form than we are used to, but Heidi encouraged us to embrace the new system and learn where to find things in Banner. Information not available in Banner screens will be made available in Discoverer.
17. Other Discoverer Training
Trevor Bennett (NCS) will be invited to attend the next ACC to demonstrate Discoverer and answer questions. Meantime, email heidi.beck@usu.edu with information that is imperative for you to access. Use SOAHOLD and SPACMNT to retrieve information from SIS screen 148. Wade Oliver will work on a website to give access to an online spread sheet. Susie Parkinson, College of HASS Advising Center, will schedule monthly tutoring sessions for Discoverer. Additional information will be given next month.
