Transfer Student Guide – Lisa Hancock

Lisa handed out a brochure that is being sent to all incoming transfer students. Since transfer students are no longer required to complete orientation, this brochure outlines the steps that new transfer students need to complete, including a meeting with their academic advisor.

Major Requirement Sheet Status by College – John Mortensen

Below is the status of the major requirement sheets that have been turned in so far. All first proofs that have not been turned in will need to be returned by the end of March.

Agriculture: On time, have first draft of everything

Business: Economics on time, still waiting for everything else

Educ. & Hum. Serv.: All but one on time, still waiting for Special Education

Engineering: Still waiting on everything

HASS: More than half on time, still waiting on some

Natural Resources: On time, have first draft of everything

Science: All but one on time, still waiting for Mathematics & Statistics

Calendar Review – John Mortensen

See calendar at the end of this message. Please note that the annual course articulation tables will be distributed during the first week of April and need to be returned by Friday, April 30.

Rachel Lewis, Lisa Hancock and two student coordinators will be facilitating orientation for transfer students at Salt Lake Community College, Snow College, and the College of Eastern Utah. They will provide students with information about contacting their USU advisor.

Advising Software – Wade Oliver

Wade is looking at different advising software products that we might want to incorporate at USU. He will also be looking into Banner to see what its capabilities are. Wade has a conference call scheduled for a demonstration of Advisor Track on Monday, March 15 at 3:00 p.m. in his office. Anyone who would like to participate should contact Wade at 797-1133.

Change of Matriculation – Cindy Moulton

Cindy handed out an Undergraduate Change of Matriculation Form. She will forward the actual form and handout to John, who will forward the information as an e-mail attachment sometime next week. handout (.pdf 85K) form (.pdf 410K)

Graduation Close-outs – Heidi Beck

Heidi had several handouts, which are attached to these minutes. The RSVP e-mail is for the spring graduates. Similar e-mails have been composed for summer and fall graduates as well.

Grades for all graduating seniors are due Friday, April 30 by 12 noon. Faculty will be receiving lists of all graduating seniors. The lists will be distributed through the colleges. The Registrar’s Office will be mailing a memo to the students by March 25. Some students are not receiving the e-mails that they have been sent. Advisors should encourage students to check their USU e-mail accounts, or make sure they forward their USU e-mail to ensure that they receive it. The close-out action plans were given to college representatives last Friday.

Heidi indicated that the Registrar’s Office will NOT be using degree audit for final graduation check-out. The Registrar’s Office will still be doing manual checks.

Clarification from Heidi Beck 3/12/04

...we will be using On Course in the final check out. We will do a manual review of every student but On Course will help us identify when to make that manual review. We will be using OC exactly as we have always (from the very beginning) said we would - as a tool. Five years ago we determined, after discussing it with advisors, that we would NEVER use OC to post the degree and to automatically close out the student.
