Summary

Incumbents in the Accounting Assistant series perform bookkeeping and accounting tasks including providing accounting clerical support for accounts payable, accounts receivable, travel, students’ accounts and/or general accounting sections.  Duties are performed predominately to support the major accounting activities and functions of the University or a regional campus. 

Reporting and Supervisory Responsibilities

The Accounting Assistant reports to a Manager, Supervisor, and/or an Accountant.  This classification has no supervisory responsibilities. 

Typical Functions

  1. Performs general office duties, including answering phones and emails, greeting customers, data entry, filing, and other general duties as assigned. 
  2. Reviews information and processes charges to department index accounts. 
  3. Logs/deposits incoming checks. 
  4. Processes and keeps records of accounts payable and accounts receivable transactions. 
  5. Researches and resolves issues related to accounts payable and accounts receivable. 
  6. Compiles statistical, financial, accounting, and/or auditing reports and tables. 
  7. Reconciles department bank accounts. 
  8. Processes and tracks credit card transactions. 
  9. Prepares journal entries. 
  10. Accepts, verifies, and receipts cash deposits. 
  11. Researches and corrects problems that occur in the invoice payment process. 
  12. Provides education and training for staff from other departments on Accounts Payable and Receivable policy and procedures. 
  13. Performs miscellaneous job-related duties as assigned. 

Knowledge, Skills, and Abilities

  1. Ability to operate office equipment, including printers, scanners, and telephones. 
  2. Knowledge of Accounts Payable procedures. 
  3. Basic computer skills, including Windows and Excel. 
  4. Ability to discreetly handle confidential information. 
  5. Skilled with ten-key and keyboarding. 
  6. Basic math skills. 

Minimum Qualifications

Two years of relevant experience or an associate’s degree is required. 

Work Environment and Physical Requirements

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
