Summary
Incumbents in the Graduate Admissions Counselor classification oversee all of USU’s graduate school admission processes for both domestic and international students. Incumbents develop graduate application requirements by collaborating with each graduate program and evaluate graduate applications for each department. Incumbents also develop and execute training for graduate program
coordinators (GPC) in each college
Reporting and Supervisory Responsibilities
The Graduate Admissions Counselor may supervise other employees and part-time student employees in times of high volume.
Typical Functions
- Develop trainings for GPCs and other employees to better utilize Recruit and how to handle international student paperwork.
- Coordinate with Graduate Council Liaisons and staff to proactively respond to needed changes in the application requirements in Recruit.
- Collaborate with the Office of Global Engagement to ensure proper handling of international students.
- Analyze and prepare i-20 applications through Student and Exchange Visitor Program and other applicable software.
- Process and verify the accuracy of GRE/GMAT scores.
- Oversee and track the application process.
- Calculate GPAs for all departments across campus for international and domestic students if necessary.
- Maintain communication with Graduate School staff regarding the admission process.
- Track admission and enrollment trends.
- Work extensively in Recruit to create and maintain accurate reports.
- Troubleshoot with applicants who have issues with the application portal.
- Collaborate with Analysis, Assessment, and Accreditation Department to ensure proper documentation of new students.
- Coordinate the Graduate Commencement Ceremony and end-of-semester cleanup for each department.
- Analyze and upload English language proficiency scores
Knowledge, Skills, and Abilities
- Strong computer skills, including proficiency in Microsoft Office Suite, Recruit, Banner, ServiceNow, Box, Canvas, and Argos.
- Ability to work in a fast paced environment with multiple demands and changing needs.
- Ability to develop and refine existing programs and processes.
- Ability to understand and define workflows for multi-stop processes.
- Ability to analyze and audit diverse information and data sets from GRE scores to admission applications.
- Skills in data analysis and assessment.

Minimum Qualifications
Bachelor’s degree and one year of graduate admissions experience.
Work Environment and Physical Requirements
Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
