Summary

Incumbents in the Program Assistant series perform a combination of program-related and/or administrative functions that support community, social, instructional, and/or research programs; and/or coordinate people, events, or facilities.

Distinguishing Characteristics

The Program Assistant II is distinguished from the Program Assistant I in that incumbents in the II level typically support programs that are larger in size and/or scope, are more complex, and/or have a larger range of geographic impact and recognition.

Reporting and Supervisory Responsibilities

The Program Assistant II typically reports to a Program Coordinator, Director, or Department Head. This classification may train and guide student and/or part-time employees.

Typical Functions

  1. Provides support to administrators, faculty, academic, and/or research staff.
  2. Performs office management duties, including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventories.
  3. Represents the department/program in a positive manner with students, staff, faculty, and the community.
  4. Seeks ways to improve efficiency of services and develops processes to streamline procedures.
  5. Maintains and creates website content.
  6. Writes, edits, and coordinates the development of promotional materials, educational materials, training manuals, newsletters, and/or brochures.
  7. Advises students, customers, or members of the general public about program specific requirements, regulations, services, etc.
  8. Coordinates program/department activities including, conferences and events.
  9. Recruits students to program and process and manage applications for review.
  10. Trains and guides student and/or part-time employees.
  11. Provides training, instruction, and/or consultation to students, faculty, and/or staff in the use of specialized services.
  12. Serves as the liaison between administration, faculty, students who are participating in the program, and/or community members who serve as mentors.
  13. Provides support in program compliance activities.
  14. Assists in preparing monthly budget reports.
  15. Performs miscellaneous job-related duties as assigned.

  4. Skilled with basic office equipment, including printers, copiers, and telephone systems.
  5. Ability to coordinate and organize meetings and/or special events.
  6. Records maintenance skills.
  7. Knowledge of supplies, equipment, and/or services ordering and inventory control.
  8. Database management skills.
  9. Basic computer skills.
  10. Ability to create, compose, and edit written materials.
  11. Knowledge of communication principles, media, and marketing techniques.
  12. Ability to handle sensitive and confidential business data and personal information.
  13. Knowledge of University policies and procedures.
  14. Ability to take initiative and work without close supervision.

Minimum Qualifications

Two years of experience or an associate degree/technical training is required. 

Work Environment and Physical Requirements

Employees typically work in an office environment and are protected from weather conditions or contaminants, but not necessarily occasional temperature changes. However, in certain instances employees may work outdoors and may not be protected from weather conditions. Employees could be exposed to hazardous chemicals.  Employees nearly continuously sit and often use repetitive hand motion (such as typing).  Bending and stooping is occasionally required. Employees nearly continuously listen, hear, and talk.
