Travel Assistance

To ensure the well-being of its international travelers, USU has contracted with International SOS to provide assistance to those traveling abroad on university business or sponsored activities.

International SOS provides travelers with security and medical evacuation services along with 24/7 emotional support, detailed further in the Emotional Support section below.

How and When to Use International SOS

Before the Trip

Register your Trip with International SOS


Note: USU Risk Management will not approve a Travel Authorization until a traveler registers their foreign trip with International SOS.

First, visit the International SOS membership portal and enter your USU email address (e.g. “big.blue@usu.edu”). Travelers cannot use a non-USU email address to register a trip.

  • If this is your first time logging into International SOS, you will be taken to an account setup page.
  • If prompted, USU’s membership ID is 11BYSG000002.

After logging in or creating your account, click on the “My Travel Tools” tab and select “My Trips”. You can also access the My Trips page by visiting https://myportal.internationalsos.com/subscriber/trips.

  • Create a name for your trip;
  • Enter your flight and/or hotel information; and
  • Save your trip.

After saving your trip on the My Trips page, you will await and review the Pre-trip Advisory Email from International SOS (online@internationalsos.com)

  • This email will provide health, safety, and security information specific to your destination.

From the Pre-trip Advisory Email, click the link to visit the BeReady page and locate your trip listed on the My Travel Tasks dashboard.

  • At the Traveler Submission section of My Travel Tasks, click “View Form” to complete required export control attestations and declare any dependents who may be traveling with you.

Prepare Yourself


  • Visit the International SOS Member Portal to view country guides and medical and security reports specific to your destination;
  • Take the International SOS Introduction to Membership course;
  • Sign up for destination-specific email alerts; and
  • If needed, contact the appropriate International SOS Assistance Centre for pre-travel information, such as vaccinations, required medications, and travel security.

During the Trip

Contact International SOS when Needed


You should call an International SOS Assistance Centre or use the Assistance App when you:

  • Need health, safety, and security advice;
  • Need a specialist (referral) credentialed by International SOS;
  • Need supplies of medication or equipment;
  • Need advice on lost travel documents; or
  • Need legal assistance.

In an emergency, call an International SOS Assistance Centre or use the Assistance App to:

  • Arrange transportation;
  • Monitor your condition and provide advice;
  • Evacuate you to safety if necessary or when local facilities are inadequate; or
  • Contact USU.


Emotional Support

Travel abroad can bring unforeseen stress and strain to students, faculty, and staff members. USU’s arrangement with International SOS features a 24/7 emotional support service, through WorkPlace Options, to help support travelers’ mental and emotional well-being. Services to USU travelers abroad include:

  • Support from mental health professionals in more than 60 languages;
  • 24/7/365 service through the International SOS dedicated line (+1 215-942-8478);
  • Access to counseling sessions;
  • Phone, video call, or face-to-face counseling options; and
  • Seamless integration between medical and travel security.

Cost of Using International SOS

To recover costs, USU charges each traveler a minimal fee to use International SOS. As of August 23, 2023, travelers are charged according to the following fee schedule:

Student Travel: $4.00/Day
Student Spouse/Dependent Travel: $5.00/Day
Faculty and Staff Travel: (Graduate students with assistantships are considered staff for travel purposes)
1-15 Days $100.00/Trip
16-45 Days $200.00/Trip
46-89 Days $375.00/Trip
90-180 Days $475.00/Trip
181-364 Days $600.00/Trip
Faculty and Staff Spouse/Dependent Travel: $5.00/Day
