Fundraising 

Fundraising is defined as any event where the organization intends to raise additional funds through solicitation (funds and/or items), charging admission to a fundraising event, sponsorship, or selling products or services. This excludes collecting membership fees or dues. This includes fundraisers that benefit the organization, other charitable group or an individual.

Your fundraiser may qualify to receive charitable contributions if the contributions support the charitable purpose of Utah State University. The purpose of the fundraising will determine if the donations received will qualify to offer charitable gift receipts. Donors need a charitable gift receipt if they want to claim charitable donations on their tax return. Charitable contributions received must be processed through the USU Advancement Office. Effective July 1, 2021, a University Gift Investment Fee will be applied on all new, charitable non-endowed gifts. 

Any student organization fundraising must be pre-approved by completing the Application to Raise Funds at least ten business days prior to the day of the fundraiser. The application will determine the workflow and approval process that your fundraiser will go through. Applicants can expect a response via email within five business days of submitting a completed application. The response will include instructions pertinent to your fundraiser including the approved credit card processing methods.


I. GiveCampus On-line Donation Form -- Charitable Donations

This option is customizable for your specific fundraiser. It can either be a “donate now” button or we can create a web page that is stored on the advancement server with the fundraiser information and accompanying giving box.

  • Merchant Fees: The receiving department will be assessed a processing fee at 2.45% of the gift amount only for credit card or digital wallet gifts benefitting an endowed fund. 
  • Timeframe for Creation of On-line Form: Approximately 1 week
  • Timeframe for Receiving Funds: The funds will appear in your Banner index approximately five business days after the card has been charged. 
  • Payment Options: Accepts global credit, debit and ACH transfers in addition to digital wallets (Venmo, Paypal, Apple Pay, or Google Pay). 

Steps:

  1. Submit online donations form request at Advancement Resources website
  2. Choose Giving Form Addition/Edit from the Request Type drop down menu.
  3. Choose the radio button for New USU College/Area GiveCampus Page as the type of request.
  4. Fill out the rest of the fields on the form and select submit.
  5. USU Advancement Services Office will create the giving box/website.
  6. Advancement Web Programmer will give Department/IT website administrator giving box asset code to install on department webpage. 

II. USU Giving Portal -- Charitable Donations 

This is the main university Make a Gift button. It is very generic and is not customizable. You can link to it from any university web page.

  • Merchant Fees: The receiving department will be assessed a processing fee at 2.45% of the gift amount only for credit card or digital wallet gifts benefitting an endowed fund. 
  • Timeframe for Creation: none
  • Timeframe for Receiving Funds: The funds will appear in your Banner index approximately five business days after the card has been charged. 
  • Payment Options:  Accepts global credit, debit and ACH transfers in addition to digital wallets (Venmo, Paypal, Apple Pay. or Google Pay). 

Steps:

  1. Direct donors to USU.edu/giving. If your fundraising option is not in the designation drop down menu, choose "other designation" and fill in the choice in the gift instructions text box field. 

III. Jot Form: Event Registration Form

This Fundraising Event option is customizable for your specific event. It can either be a “register now” button or form that embeds HTML code into your registration website or we can create a web page that is stored on the advancement server with the event registration and event payment form.

  • Merchant Fees: 6% processing fee will be charged for all registration fees collected and charged back to the department
  • Timeframe for Creation of Widget: approximately 1 week
  • Timeframe for receiving funds: Funds transfers will occur at the end of each month. 
  • Notification of Registrants: Requestor will receive a report URL that will download a report containing the registrant information. Attendees are also recorded in the Millenium database for future reporting. 

Steps:

  1. Submit online donations from request at Advancement Resources website
  2. USU Advancement Services Office will create the giving box/website.
  3. Advancement Web Programmer will give Department/IT website administrator giving box asset HTML to install on department webpage. 

IV. GiveCampus On-line Donation Form -- Non-Charitable Donations

This feature is designated for fundraisers that inolve non-charitable donations (charging admission to a fundraising event, selling products, or services) with funds being directed to a University index. The donation form is tailored for each fundraiser, empowering the requestor to generate a QR code that directs donors to the payment collection page. 

  • Merchant Fees: 5% processing fee will be deducted from donation amount. 
  • Timeframe for Creation of Widget: Three business days 
  • Timeframe for receiving funds: the funds will appear in your Banner index approximately five business days after the card has been charged. 
  • Payment Options: Accepts global credit, debit and ACH transfers in addition to digital wallets (Venmo, Paypal, Apple Pay, or Google Pay).
