Step 1: Watch for a set of important USU Onboarding Emails
There are steps to review and several forms that you'll need to complete prior to starting your new position. New employees receive a series of emails that introduce the information and provide you with your employee A-number (USU Identification number).
One of the emails will show where you must fill out demographic and contact information needed for the onboarding process to move forward. This email will contain a link and a unique personal hiring code to use to securely submit your information.
NOTE: Emails will be sent to the email address you provided in your employment application from usu@service-now.com
Step 2: Complete Paperwork
I-9
An I-9 is a required federal form that is used to verify the identity and employment authorization for individuals hired for employment in the United States. There is an online section of the I-9, as well as an in-person section that requires specific documents.
You will need to provide USU with the original documents that establish your identity and employment eligibility in the U.S. Review the List of Acceptable Documents and gather your documents accordingly.
Next, watch for communication from a USU representative who will arrange a time to review your documents and help you complete a Form I-9 on or before your first day of work.
Background Check
If needed for your position, a background check request email will come from applicationstation@truescreen.com. A background check is a process a person or company uses to verify that a person is who they claim to be and provides an opportunity for someone to check a person’s criminal record, education, employment history, and other past activities in order to confirm their validity.
Other Paperwork
These are documents required for employment at USU, such as a W-4.
A W-4 form is a tax document that tells your employer how much money to withhold from your paycheck for federal taxes. The amount withheld depends on factors like your filing status (single, married, etc.), the number of dependents you claim, and any extra withholdings you request.

Step 3: Plan For New Employee Orientation
Benefit-eligible Employees
The New Blue Employee Orientation is a live event designed for benefit-eligible employees. We encourage all employees, when possible, to attend the in-person session on the Logan campus, as it offers the fullest experience and the opportunity to connect with colleagues face-to-face.
For employees who work at statewide campuses or out-of-state locations, or for whom travel is not feasible, a live Zoom session is available. This ensures every new Aggie can participate fully, no matter where they are located
You and your supervisor should plan for you to attend orientation on or as close to your first day as possible.
Non-benefit Eligible Employees
At this time, a formal orientation is not offered for non‑benefited employees, but your team will provide the information and resources you need to get started. Learn more about part-time resources.
Step 4: Plan for Transportation
For most statewide campuses, parking is straightforward—you can typically park near your building without needing a permit.
If you will be working on the Logan campus, parking requires a USU Parking permit, which must be purchased by employees. Parking permits are tied to your vehicle’s license plate number and require the following information when purchasing:
- License plate number
- Vehicle make, model, and year
- Employee type
To request a permit, call 435-797-3414. Paid parking is also available in select terraces and metered spaces.
Aggie Shuttle
The Aggie Shuttle is a quick, environmentally friendly way to get across campus (not available Summer semester). Track routes in real-time using the Aggie Shuttle app or visit Passio GO!.
Connect Public Transit
For those commuting to the Logan campus, Connect Public Transit offers free, fixed-route bus services throughout Cache valley, including stops at key locations on campus. Route 1 services the USU campus, Merrill-Cazier Library, and Aggie Village, among others.
