Standard Operating Procedure for Large-Scale Ticketed Events
Purpose
This procedure outlines the process for requesting, reviewing, and issuing media passes for large-scale ticketed events hosted by the Student Involvement and Leadership Center at Utah State University. It ensures that only qualified individuals receive media access and maintains the integrity and security of the event.
Procedure Outline
1. Eligibility Criteria
- Affiliation: Must be affiliated with a reputable media organization, including but not limited to:

- News outlets (print, digital, or broadcast)

- Accredited journalism platforms

- Recognized independent journalists with a proven track record
- Professional Background: Provide examples of previous relevant work, such as articles, videos, or other published materials, showcasing experience in covering similar events.
- Purpose: Clearly state the intent of coverage and its benefit to the event’s visibility or public engagement.
- Identification: Submit valid media credentials, including a media badge or letter of assignment on official letterhead from their affiliated organization.
2. Application Timeline
- Deadline: Requests for media passes must be submitted no later than 72 hours prior to the event.
- Submission Window: The media pass application window opens 4 weeks prior to the event.
3. Submission Process
- Online Form: Applicants must complete the official media pass request form available on the event’s website.

- Submission Confirmation: Applicants will receive an email confirmation upon successful submission of their application.

5. On-Site Media Pass Collection
- Approved applicants must collect their media passes on-site at the designated entry
- A valid photo ID must be presented to receive the pass.
6. Revocation Procedure
Receiving a media pass doesn’t grant access to participation at the event. Individuals attending need to be clearly identifiable as members of the media. I.E. attending in a costume at a costume or themed event.
The event organizers reserve the right to revoke media passes at any time for violations of event policies, unprofessional behavior, or misrepresentation.
