Interfolio Admin Guide: Part 6
Part 6 of this guide addresses how to add and update user accounts.
Add a New User Accounts
A CDA may find, when creating cases and adding committee members, that a certain user does not come up in a user search. The CDA has the ability to add new users using the following steps:
Click the Users & Groups left-hand navigation link.
Click the Add User button.
Type the new user's First Name, Last Name, and Email address. For best results, use their A#@usu.edu email address. This is the address that matches to USU's login system.
Add Another Email Address and Check the User's SSO Identifier
A CDA who has added a new user using the A#@usu.edu address may want to add a more recognizeable email alias (first.last@usu.edu) to the user's account. This is possible.
Click the Users & Groups left-hand navigation link.
Search for the new user in the search box. When the user appears, click the pencil icon to edit the account.
Replace the email address in the Email field with the new address, i.e. first.last@usu.edu.
This will not delete the original A#@usu.edu address from the account, although it will no longer appear as the primary address.
For good measure, click the SSO Identifier tab and make sure the SSO ID is still set to the A#@usu.edu address. As long as the SSO ID field shows this address, the user should be able to login.
Whenever a user complains of login difficulties, the SSO ID field should be one of the first user settings checked. If no ID is showing, or an incorrect ID is showing, enter the user's A#@usu.edu address as a troubleshooting step.
Troubleshoot Duplicate User Accounts
Sometimes a person can wind up with two user accounts in Interfolio. This can be the result of the user creating an Interfolio account for some purpose outside of USU. One of the first clues to this being a problem is a report by the user that Interfolio is asking, upon a login attempt, if the user is part of a committee and needs to be added to Interfolio. Here are some steps for managing duplicate accounts.
First, check to see if there is a duplicate account. Click the Users & Groups tab in the left-hand navigation and search for the user.
If two users appear, you can ask Interfolio support to merge the two accounts. Send an email to help@interfolio.com. Or reach out to USU's instutional interfolio admin for help submitting the request.
Alternatively, encourage the user to merge the two accounts. Users can merge accounts by clicking on their name at the top right, choosing Account Settings, followed by Email & Communications. There they will find a button to Merge Accounts. CDAs cannot merge accounts on behalf of a user.
