Interfolio Admin Guide: Part 2
Part 2 of this guide provides step-by-step information for the college dossier admin (CDA) on how to create a case for a candidate from an existing template.
Login, Create a Case, and Notify the Candidate
To access Interfolio, go to https://interfolio.usu.edu and login with your A-number and password.
If asked whether to go to Utah State University or dossier, select Utah State University.
Click Cases in the left-hand navigation to view the case list for your college
Click the Create Case button (or for a bulk option, click the arrow next to the button and choose Create Multiple Cases.)
Begin typing the candidate's name in the "Search for Candidate" box. For best results, type the most unique part of the name rather than the full name.
When the candidate's name and email address appears, select it.
If the candidate doesn't appear in the search, select "Create User" and add the user by their first name, last name, and A#@usu.edu email address. Then return to create the case.
Select Yes, the candidate will be involved during the case.
Choose the department the case or cases will be associated with and click Confirm.
Next, select the template that is most appropriate given the type of review. In general, there are three types of templates: Tenure/Promotion, Third-Year Review, or Committee/Department-Head Review Year. Choose the college-specific version where available.
Select the type of case (typically Tenure, Promotion, or Review). Click Save and Continue
The next screen provides options for modifying the case sections. You can stick with the template exactly as is and click Continue, or take a moment and add, reorder, rename, or remove sections.
1. Click the Add Section button to add a new section.
2. Click and drag on the grid icon to move sections.
3. Click the pencil icon on a section header to rename a section.
4. Click Add Requirement on a section header to add new document types to upload.
Click Continue again to skip past the Internal Case Sections screen. If you will not be collecting external evaluations, you can delete this special section.
You can assign committee members now to the various review steps (using the instructions on the next page) or wait until later. Click Continue to save the case.
From the Case Summary screen, scroll to the top and click Return to Case.
Important! The case must be sent to the candidate for the candidate to see it. To send the case from the Case Summary screen, click the Send Case button and choose Candidate: Notify Candidate
If you want to notify multiple candidates of their cases at once, you can go to the Cases list, check the box next to each applicable case, and then click the Notify Candidates link that appears at the top of the page.
