Interfolio Admin Guide: Part 1

The admin guide is written for individuals selected by their college to be the college dossier administrator (CDA) for the Interfolio Retention, Promotion, and Tenure system. It explains the setup and management of cases, templates, committees, and users within Interfolio.

The College Dossier Admin (CDA) Role

To maintain simplicity and reduce the likelihood of error in the case management process, CDAs are primarily responsible for performing the following tasks in Interfolio for their respective colleges:

  1. Add new faculty users to the system.
  2. Maintain college-specific case templates.
  3. Create new cases for each candidate and send notifications.
  4. Add committee members to the appropriate workflow steps.
  5. Assist candidates as needed with loading files into their cases.
  6. Oversee the uploading external evaluation letters.
  7. Log the votes of each reviewer and upload reviewer recommendation letters.
  8. Share recommendation letters with candidates.
  9. Forward cases to the next appropriate level of review.
  10. Assist candidates and other reviewers, as needed, in accessing the cases they have been given permission to view.

College-Specific Approaches

Although each college takes generally similar approaches to the tenure and promotion review process, there are some differences in timelines, expectations, approaches to non-decision-year reviews, and roles. Working with their college deans, CDAs have flexibility to create and modify case templates, set deadlines, and adjust case categories, steps, and instructions. The institutional administrator can assist CDAs in developing approaches that work for their college.

The Institutional Administrator

An institutional administrator has access to perform the same tasks a CDA can perform, but for all colleges. Normally the institutional admin gets involved as a point of escalation when there are issues or questions the CDA cannot address or is uncertain about. The institutional admin is Neal Legler. The CDA role can be demanding and challenging. In addition to these guides, support can come from the following sources:

  1. Other CDAs. The Provost's office maintains a list of CDAs for each college.
