How do I use FMLA with other leave benefits?

FMLA-covered leave is unpaid unless you use one or more of your leave benefits while you are absent from work. Possible pay continuation options include sick leave, vacation leave, comp time earned, and short-term disability, and parental care giving with modified duties.

Parental Care Giving with Modified Duties (Teaching Faculty)

PCMD leave provides 90% pay and is designed to allow faculty to request relief of up to six credit hours of teaching for one semester either spring or fall due to the birth or adoption of a child while continuing to perform other job responsibilities. The faculty member will be expected to continue professional activities such as research and working with graduate students. Fulfilling these expectations will prevent students from being disadvantaged by disruption of instruction. To initiate PCMD the faculty member will submit a formal request. Human Resources can provide you with the PCMD leave request form. The request will need to be approved by the department head, academic dean, or vice president for extension, and, where applicable, the chancellor or regional dean, and the provost.

Accrued Leave

Accrued Leave may be used to provide 100% pay for the entire time you are on FMLA leave. FMLA can be used for up to 12 weeks of continuous leave or intermittently for up to one year.

  • Go to your leave system mytime.usu.edu or if working for the Logan Facilities department use the AIM time keeping system.  
  • Enter leave using the FMLA codes. (example: FMLA sick, FMLA vacation, FMLA leave without pay) 

FMLA is job protected/unpaid leave, but if you would like to be paid while on FMLA, simply select the type of accrued leave you want to use:

  • FMLA Sick – hours will be taken from your sick leave accrual 
  • FMLA Vacation – hours will be taken from your vacation leave accrual 
  • FMLA Comp Time – hours will be taken from your comp time accrual 

If you run out of accrued leave, select the FMLA leave without pay code.  

All FMLA hours must be reported. If you are in an exempt position and have worked 4+ hours and only need to report used FMLA hours use the code FMLA Tracking Hours No Pay. If you are in a non-benefited position and do not have accrued leave, contact HR for a tracking form. 

Short-Term Disability

Short-Term Disability may be a good option if you don’t have much accrued leave and you are going to be on continuous leave longer than 12 weeks. Short Term Disability insurance can replace part of your income if a disability keeps you from working for a short time (120 days or less). It pays you 66.67% of your salary directly to help cover expenses. This is a benefit you’d receive if you suffer a qualifying disability. The benefit waiting period for benefited employees is 14 calendar days or 10 work days for accidental injury, physical disease, pregnancy, and mental disorder.  

How do I use short-term disability?

Notify Human Resources

  • Call the Human Resources Solution Center at 435-797-0122.
  • Express your interest in filing an STD claim.
  • Schedule a meeting with HR. They can accommodate in person, via Zoom, or by phone to assist you.

Notify Your Supervisor

  • Inform your supervisor of your need for leave and your intention to file an FMLA request & STD claim.

Short-Term Disability Claim Process

To file a claim by telephone, contact The Standard’s Claim Intake Service Center at 1-800-378-2395. (This offers the quickest response time.) 

To file a claim online, go to standard.com and scroll to the bottom of the page and click on “File a Claim or Request a Leave” to begin. Instructions will be provided throughout the entire claim submission process.

Communicate your Plans

Inform HR and your direct Supervisor of your leave plans. Enter your leave details in the USU timekeeping systems. 
  • mytime.usu.edu (all campuses) 
  • AIM (facilities employees working on the Logan campus)
Human Resources can guide you on how to enter your leave properly. It can be confusing with both FMLA and STD running concurrently.
