OneUSU CRM new learner portal and application are now live!

We’re officially live! The new Recruitment and Admissions (R&A) learner portal and application launched on January 29, 2026, serving students applying for Spring 2027 and beyond. Prospective students now apply through a single, modern entry point. The portal reduces confusion, streamlines steps, and creates a clearer, more intuitive path from interest to enrollment.

Staff interested in previewing the application experience may explore the Application Test Site by creating a new portal account. This environment is for testing only and does not affect live student data.

R&A Go Live and Advancement Sprints 1-3 | December 3, 2025 – February 2, 2026

Status & Accomplishments

The new Recruitment and Admissions (R&A) learner portal and application are officially live! In addition to a more modern, streamlined experience for prospective students, this release delivers key behind-the-scenes improvements that enable more efficient application processing for Recruitment and Admissions teams.

Momentum also continues on the Advancement phase of the OneUSU CRM project. The team has successfully completed Sprints 1 and 2 and is now underway with Sprint 3, maintaining strong progress across the OneUSU CRM project.

Here's a look at what we've been up to:

  • Recruitment & Admissions (R&A):
    • Ahead of launch, the team dedicated additional time to validating data, thoroughly testing the system, and resolving any remaining issues. As a result, all known issues for this release were addressed, and both Graduate and Undergraduate Recruitment & Admissions successfully went live together.
    • Data preparation continued through launch to ensure student information was accurate and complete. A final readiness check was also conducted to confirm operational, technical, and training readiness before launch.
    • To make sure everyone felt confident using the new system, end users completed required training prior to receiving system access, ensuring teams were prepared to use the new tools effectively from day one.
    • For future Aggies, this launch delivers a clearer and more intuitive path from initial interest to enrollment. For our teams, it provides improved tools, higher-quality data, and a more connected way of working. For the OneUSU CRM initiative, this milestone demonstrates that a shared CRM is no longer just a concept but a functioning platform capable of supporting recruitment at scale. For the university, it represents a critical step toward breaking down data silos, strengthening communication with prospective students and alumni, and advancing a more coordinated, student-centered approach to enrollment and beyond.
  • Advancement
    • Work on the Advancement phase is moving full speed ahead. Sprint 1 and Sprint 2 are complete, laying a strong foundation with core data objects (how information is stored), page layouts, and security controls (who can access what in the system). Sprint 3 is now underway, with the team continuing to build and prepare the next set of features.
    • Building on the success of the R&A phase, the marketing team is now developing advancement email templates and the preference center using this newly delivered foundation.
    • Overall, the Advancement CRM is coming together step by step, turning behind-the-scenes planning into real tools that will support fundraising, alumni engagement, and outreach across the university.
